Tools That Transform Your Practice Management System Into Your Super Hero Sidekick!

Would we have a conversation to get that ball rolling? Absolutely! But the truth of this case study is that a lot of our current customers use eVetPractice, so we researched customer reviews who use eVetPractice and came up with two primary goals. First and foremost, we strive to help our clientele get the results they want out of their data and systems. Second, we stronger united, so we focused on creating a mutual customer base with one of the leading cloud-based practice management systems to keep giving practices the best tools to provide the best care. 

Challenge

Based on reviews we read, the current users of the eVetPractice management software are seeking ease and usefulness of the available reporting capabilities within the system. Users noted that there isn’t a satisfactory comprehensive overview available on one page. Veterinarians want to seamlessly access basic information about the health of a pet without struggling themselves through endless clicks across different screens.

Being able to see the numerous health points from the patient’s medical records side by side enhances the diagnostic evaluation and this is not presently available without the IVEE dashboards.

E.g: Vital data, lab results, body scores, weights, SOAP notes, previous diagnoses are all located in different locations within the PIMS vs in one place with IVEE.

 

If you look at the Key Performance Indicators (KPI) for clinics, it’s very difficult to find an accurate and aggregated report of all the necessary indicators within a singular clinic, let alone multiple clinics within a franchise.  The enterprise data model within practice management systems (PiMS) is often sloppy at best, often inaccurate, and at worst, not even available within many systems. This leaves practice owners who have multiple locations, struggling to fully understand where their KPIs land.

Indicators such as total practice revenue, percent of expenses of total revenue, total practice transactions, average transaction charge, total active clients, new clients, client and patient visitation ratios, doctor and staff production plus staff/doctor ratio, and operational productivity and not available in a single, easy-to-use dashboard. 

Aggregating all these metrics becomes especially difficult as a lot of these data points are difficult to find and extract from the PiMS themselves. 

However, our focus on the heath records allows us to extract some commonly missed information that is required data to give a full and accurate measurement of the KPIs. Empowering clinics themselves to gain more predictable results in the future, based on the data points they know the best, the health data.

Solution

First, we had to ingest the reporting data for as many PiMS as possible, including eVetPractice, by utilizing the Covetrus Marketplace and API integrations. With the help of our current users, we've been able to shine a spotlight on areas for improvement within the PiMS and increase the value of the software to its current and future users. 

We’ve streamlined our onboarding processes through multiple integrations and proprietary mapping and have new eVetPractice clinics up and running in under 48 hours!  That means you can have your own records unified and visualized in just a few days, ready for your staff to use and love.

By eliminating excess scrolling, clicking, and tabbing we are saving veterinarian and staff time. By offering a complete overview of the patient’s entire health on one single, easy-to-understand dashboard, we are minimizing stressful communications and resistance from clients about treatment and care. When clients are able to understand more, they are able to relax and think more clearly. Improving communications with your staff which lets everyone have a better day!

Now Veterinarians can quickly and easily see alerts, reminders, SOAP notes, diagnostics, and lab results with zero clicking and minimal scrolling.

Dashboards are created from a combination of current records, previous records, lab results, and PDF files.

Easily, and at a glance, veterinarians are understanding if their patient has been in for similar issues or how often they’ve been in for a similar issue. E.g. limp, digestive, dental. Utilizing our software to visualize the animal’s health from other clinics, alternative care or lab results help create a true 360-degree view of that pet..  (Dr. So and so out of BFE, SD) Dan? Ken? O’Leary? 

Results

IVEE is running the analytics and getting a better understanding of each clinic plus in testing for sharing of information between commonly referring clinics - imagine the time save of nothing having to request records OR imagine the incredible power of having updates about localized outbreaks, such as parvo or influenza - promoting true animal and clinic health. 

With the help of our numerous eVetPractice clients, KPIs are becoming more standardized and unified as we build additional consistency between multiple practices and one with a focus on accurate health and business data. 

Clinic data is updated every 24 hours, keeping an accurate account for daily patients seen. Future cases are to be used side by side with standard PiMS to assist in saving time and improving overall understanding for every member of the practice from personnel, to administration, and to pet parents.
